Intelligence Engine

What is the Intelligence Engine?

The Intelligence Engine is the system that reads your pipeline so you don't have to. Two pillars work together: Task Intelligence scores every task by actual pipeline impact — dollars and deadlines, not just due dates — and Relationship Intelligence watches the health of every referral partner and notices when silence is unusual. Each morning they produce your Daily Briefing: the five moves that matter most, with time estimates and dollar values at stake.

How does the rate monitor and recapture list work?

FlowState watches the live market rate from the St. Louis Fed and continuously re-checks every closed client against it. The moment today's rate would save a past client real money, they appear on your recapture list: name, loan, and the monthly savings, computed per client. When a rate move puts a group of clients in the money at once, FlowState calls the refi wave and reorders your morning around it. You're the first call they get, not the fifth.

How are relationship health scores calculated?

Every referral partner gets a health score from 0 to 100, computed from five weighted signals: contact recency, contact frequency trend, referral volume, revenue trajectory, and conversion rate. The system learns each partner's natural contact cadence — a weekly partner triggers concern after two quiet weeks; a quarterly partner doesn't. Scores map to four tiers (Healthy, Cooling, Cold, At Risk), and every tier comes with a suggested next step, not just a label.

How does the Daily Briefing decide what matters?

The briefing caps your focus list at five tasks — a design principle, not a limitation. Each candidate task is scored by pipeline impact: commission at stake, closing dates, rate-lock windows, and relationship value. Importance beats urgency — a quiet task protecting a $12,500 commission outranks a loud one that can wait. And the day is bounded: when the five are done, FlowState says so. No refilling list, no treadmill. Everything else waits in the noise tray, visible when you want it, never competing for your attention.

Does FlowState send my client data to an AI model?

Two different answers, because there are two different AIs. FlowState's own Chief of Staff runs on our account, under our agreement, and client data is anonymized before any FlowState-run model sees it. Your own AI, if you connect one, sees your partners and your pipeline. Borrowers stay inside FlowState as a label and a link unless your firm's admin turns names on and signs the acknowledgment that comes with it. Building now, October 2026. The numbers never come from AI. Every score, dollar figure, and ranking is deterministic math: five weighted signals you can inspect, traceable to the loans in your pipeline. Tap any recommendation and FlowState shows its work. FlowState never sells your data.

Features

What makes FlowState different from traditional mortgage CRM systems?

Traditional CRMs are containers — they hold information until you go looking for it, then present all of it with no sense of what matters. FlowState follows the 80/20 principle: it reads your pipeline overnight and surfaces the few moves that actually change your business — ranked by dollars, capped at five, each with its reasoning in plain English. It watches the market rate for recapture opportunities, catches cooling referral partners before they go quiet, and turns a 30-minute loan analysis into a one-minute client email. Close deals, not tabs.

Can't we do this ourselves with ChatGPT?

You can get a list. Firms have, and it takes someone every morning to rebuild it from the inbox, and the list can't call, log a text, or notice a partner going quiet. The chat box is the easy five percent. The record, the capture, the scoring, and the gates that keep a draft from sending itself are the other ninety-five. We built those so your AI can do the part worth doing.

Do I need a Claude or ChatGPT subscription?

No. Your Chief of Staff lives in FlowState and works there every morning. If you already use Claude or ChatGPT, it comes with you. If you don't, you aren't missing the product. You're missing a second door to it. Building now, October 2026.

What can my AI actually do with FlowState?

Ask it why today's five are today's five. Tell it what happened on a call while you're still in the car. Ask which past clients are paying too much and get four drafts in your voice. Say "follow up when rates cross six." It proposes; you approve; FlowState does it, in your book, with undo. Building now, October 2026.

What are the core features of FlowState?

Five things, built to work as one: the Intelligence Engine (daily briefing plus relationship health scoring for every referral partner), the rate monitor with a per-client recapture list, five professional calculators with one-click Share Results emails, a bounded daily focus list scored by real pipeline dollars, and a complete mortgage CRM with pipeline visibility where every figure traces back to an actual loan. Everything is mobile-responsive, so it works wherever your day happens.

Does FlowState replace my LOS?

No — and that's deliberate. Your LOS runs the loan: documents, disclosures, compliance files all stay in the system built for them. FlowState owns what the LOS ignores: who to call today, why, and what it's worth. Relationship health, rate recapture, daily priorities, client communication — the revenue side of your day. Two systems, zero overlap.

What integration capabilities does FlowState offer?

Two kinds. Into the record: texts, calls, and email from your Mac, Outlook, your LOS, Calendly. Out of the record: your own AI. Add FlowState to Claude or ChatGPT once and it knows what you know. Building now, October 2026.

How does FlowState's automation save time?

Automation here means the thinking, not the paperwork. FlowState scores every task by real pipeline dollars, caps your focus list at five, flags cooling referral partners before they go quiet, and surfaces past clients the day rates make a refi worth a call. On the output side, Share Results turns a finished analysis into a polished client email in one click — the 30-minute spreadsheet-and-formatting shuffle becomes about a minute. The hours come back from better mornings, not busier ones.

Tell me about the calculator suite. What makes it special?

Our five professional calculators are built for mortgage professionals: payment breakdown, rent vs. own analysis, refinance scenarios, buydown comparisons, and competitive rate bake-off with sales strategy. What makes them special is the direct integration with our email system. You can generate professional charts and summaries, then share them directly with clients through branded email templates in under a minute. Together, the math and the presentation help you close more deals while building client trust.

Does FlowState log my texts?

Yes, from a Mac. FlowState Sync is a small menu-bar app that reads the Messages app on your Mac and logs conversations with people already in your book to their timelines, one note per month. The Mac app only reads; replying happens in FlowState, on your tap, from the Call, Text and Email buttons. Conversations with nobody from your book stay on your Mac. On first run it shows you who it found, names and counts only, and waits for you to confirm. Captured texts are private to you, not admins or teammates, and you can stop capture at any time from Settings.

Will FlowState send messages for me?

No. Not from the app, and not from your AI. FlowState drafts; you send. When you approve a follow-up in Claude, FlowState writes the task and the draft into your book. Building now, October 2026. The send is yours, every time.

Getting Started

How quickly can I start seeing results with FlowState?

The same day. Sign up, and the calculators, the client emails and the CRM work immediately; your first Share Results email is a few minutes away. Import your book when you are ready and the morning list, the recapture list and relationship health fill in from it. Over the first thirty days the scoring adapts to how you actually work, so the list keeps getting more like yours.

How do I move my book over?

Export it from your LOS and upload the file. FlowState reads 378 column spellings across 62 fields, so an Arive export maps itself; other exports map most of the way, and you place the remaining columns once. Upload next month's export and existing clients and loans update in place, so nothing duplicates. Firms on a pilot get the import done with us.

What kind of support can I expect?

FlowState is built so there is little to learn: if you can use a calculator, you can use it. The in-app feedback box sends your suggestions and bug reports straight to the product team, and we read every submission. Firms on a pilot get onboarding and book import done with us directly.

Security

How does FlowState protect sensitive mortgage data?

Your data is protected in layers. Sign-in runs through Auth0, so FlowState never stores your password. Every organization's records are isolated in the database itself by row-level security, not only in application code, so one firm's data cannot be read by another. Data is encrypted in transit and at rest. Our security practices are built aligned to SOC 2 principles, and we review them regularly.

What compliance standards does FlowState support?

FlowState keeps the client contact history you log, plus the texts and emails capture adds, and surfaces compliance reminders so follow-up obligations don't slip. Document and disclosure compliance stays where it belongs: in your LOS, the system of record built for it. Your records stay yours: ask and we export them in full, and the Terms give you a 30-day export window if you ever leave. We recommend consulting your compliance team on your specific regulatory requirements. The AI connection is off until your firm's admin turns it on. Every action carries who approved it and when. Borrowers stay inside by default. It is AI your compliance officer can sign. Building now, October 2026.

Pricing

What pricing plans are available?

One plan. Professional ($149/user/month) includes the full Intelligence Engine (daily briefing, relationship health, bounded task focus), the rate monitor with client recapture alerts, automatic text, Apple Mail and call capture from your Mac and email capture from Outlook, Calendly booking sync and booking links (you bring your own Calendly plan), the Growth room, the complete calculator suite with one-click email sharing, full CRM with pipeline management, analytics dashboard, self-service training resources, and easy cancellation anytime. How quickly can I see ROI with FlowState?

Two ways, and you can check the math yourself. Time: a loan scenario plus the client email used to take about 30 minutes; FlowState delivers it in about one, so roughly 29 minutes come back on every scenario you run. Dollars: one extra closing at a $4,500 commission covers about 30 months of FlowState. The calculator on our homepage runs both numbers on your actual volume.

Is there a free trial?

Yes. We offer a 7-day free trial with full platform access. This isn't a limited demo. You get the complete FlowState experience to evaluate whether it's right for your workflow. We're confident that once you experience the time savings, you won't want to go back to your old process.
