What FlowState does
The ranked five-move day
FlowState reads your pipeline overnight and hands you the five moves that matter most, ranked by what is at stake: commission, closing dates, rate-lock windows, and relationship value. Everything else waits in the noise tray. When the five are done, FlowState says so.
Referral-partner health
Every referral partner gets a health score from 0 to 100, built from five signals: contact recency, frequency trend, referral volume, revenue trajectory, and conversion rate. FlowState learns each partner's natural cadence, so a weekly partner raises concern after two quiet weeks and a quarterly one does not. Each tier (Healthy, Cooling, Cold, At Risk) comes with a suggested next step.
Rate-drop recapture
FlowState watches the live market rate from the St. Louis Fed and re-checks every closed client against it. The moment today's rate would save a past client real money, they appear on your recapture list with their name, loan, and monthly savings. When one rate move puts a group of clients in the money at once, FlowState calls the refi wave and reorders your morning around it.
Outlook and iMessage capture, on a Mac
Outlook email and your texts land on each client's timeline without anyone typing them. Texts come from FlowState Sync, a small app that reads the Messages app on your Mac and logs conversations with people already in your book; conversations with anyone else stay on your Mac. A captured conversation moves the last-contact date, so relationship health reflects what you actually said.
Five calculators on the client record
Five calculators (payment breakdown, rent vs. own, refinance, buydown, and a competitive rate bake-off) turn a 30-minute loan analysis into a client-ready email in about a minute. Every scenario you send saves to the client's record, dated. Four of them can also write their result back to the record (empty fields fill in, filled ones ask first), and the rate bake-off saves the competitor's quote to the client.
Review-and-send outreach
The Growth room mines every closing in your book for the people worth a conversation and puts them in front of you one at a time, with the reason and a call, text, or email button. Nothing sends on its own and there is no send-to-all button: every message is written to one person, and you send it.

The team behind FlowState
Where this started
FlowState started with watching my wife work. Shannon is a mortgage lender — one of the most capable people I know — and one afternoon I watched her take a borrower's call while digging through three screens for a single answer, at a Fortune 500 lender running supposedly state-of-the-art systems. Someone making the biggest financial decision of their life sat waiting while the software buried the answer.
She was doing everything right. The system was doing everything wrong. When she went independent it got worse — now she was the loan officer, the operator, the marketer, and the administrator, with no institutional padding to absorb the noise. None of that is unique to Shannon. It is the defining experience of the modern mortgage lender: tools that track everything and understand nothing.
So I built the tool that didn't exist — a system that reads the pipeline overnight, ranks the morning by dollars, watches the temperature of every referral relationship, and turns a finished analysis into a client-ready email in one click. Everything it tells you is traceable math from your own book, and everything it asks of you fits in a morning you can actually finish.

How FlowState works
Start a free trial on your own
Sign up on the site; there is no sales call to book. The calculators, the client emails, and the CRM work the same day.
Bring your book as a CSV
Export your book from your LOS and upload the file. FlowState reads 378 column spellings across 62 fields, so an Arive export maps itself; other exports map most of the way, and you place the remaining columns once. Upload next month's export and existing clients and loans update in place.
What the import needs
A past client reaches the recapture list when their closed loan carries its rate, amount, term, and funded date. A loan missing one of those is skipped until an upload fills it in.
Support is by email at support@flowstate.mortgage and through the in-app feedback box, during business hours. Feedback goes straight to the product team, and every submission is read.
Teams of 10 or more get dedicated onboarding, done with the team, and can ask for a custom agreement.

Is FlowState a mortgage lender?
No. FlowState Mortgage makes mortgage CRM software for loan officers. It does not make, broker, or fund loans, and loan files stay in your loan origination system.

Does FlowState send my client data to an AI model?
The numbers never come from AI. Every score, dollar figure, and ranking is deterministic math — five weighted signals you can inspect, traceable to the loans in your pipeline. Tap any recommendation and FlowState shows its work. AI's job here is the writing, never the arithmetic: as AI-drafted briefings arrive, they will describe numbers that are already verified, and client records are anonymized before any model sees them. FlowState never sells your data.
